The company operates as an operational hub receiving work requests from clients and coordinating the full service delivery lifecycle with a network of project managers, technicians, subcontractors, and suppliers.

Their service trades span HVAC, Electrical, Plumbing, Septic, Garage Door, and Handyman repairs for residential properties each requiring the right certified technician, the right materials, and the right compliance documentation before work can be assigned and completed.

As Utah Restores expanded its client base and geographic footprint, the volume of incoming work orders arriving from multiple property management clients in different email formats outgrew their manual management capacity. Tracking assignments, compliance, scheduling, materials, and client communications across dozens of simultaneous work orders created critical visibility gaps and operational inefficiencies that were limiting the company's ability to scale.

As Utah Restores scaled its client base and service regions, the limitations of manual work order management created compounding operational bottlenecks from fragmented intake and assignment errors to compliance gaps and zero visibility into job progress across multiple regions.

Multi-Client Email Work Orders No Automated Intake

Multiple property management clients sent work orders via email in completely different formats different fields, different subject lines, different structures. Every incoming work order required manual reading, data extraction, and record creation creating a bottleneck that delayed response times and increased the risk of missed work orders.

Technician Assignment Without Region or Compliance Filtering

Assigning the right technician required manually checking whether a tech operated in the correct region, had the correct trade specialization, and held current compliance certifications. Without an intelligent filtering system, assignment errors were a consistent risk sending the wrong tech to the wrong job or assigning non-compliant technicians.

Work orders progressed through multiple stages from initial receipt through estimate, approval, scheduling, parts ordering, completion, and invoicing with no structured system tracking each stage. Status visibility was entirely dependent on individual memory or email chains, making it impossible to manage a high-volume pipeline effectively.

Technician compliance documents licenses, insurance, certifications had expiration dates that were tracked manually or not at all. Assigning technicians with expired compliance was a legal and operational risk. Without automated expiration tracking and assignment-blocking logic, compliance gaps were an ongoing vulnerability.

Materials ordered for jobs model numbers, supply house information, warranty details were tracked outside the work order system if at all. Missing parts, warranty obligations, and material status updates were communicated manually, creating delays and lost warranty claims.

Management had no structured view of operational performance no dashboard showing open work orders, DIQ (Days in Queue), technician performance, or regional workload.
